CLUB CHAIRPERSON

Role

To chair the Club committee.  To guide the committee in reaching decisions to ensure the progress and smooth running of the Club.

 

Skills

  • Good understanding of the sport, the Club and business principles
  • Engenders respect from the committee, swimmers and club membership.
  • Well organised and able to delegate
  • Confident at public speaking

 

Main Duties

  • To chair and control the meetings of the management committee
  • Oversee the co-ordination of club activities
  • Oversee decisions made by the management and sub committees

  • Oversee the work of officers and other club personnel
  • In conjunction with the secretary present the annual report
  • In conjunction with the treasurer present the annual accounts
  • Consult with the secretary on the content of the agenda and minutes of meetings
  • Keep up to date on ASA laws, regional, county issues and club constitution
  • Ensure that statutory documents and other returns are filed on time
  • Agree with the treasurer on the use and investment of club funds
  • Report to the officers of the committee at the first opportunity of any instant decisions taken, and ensure that all policy decisions are ratified by the committee

Commitment

Prepare for and attend all monthly committee meetings.  Be available to all officers of the Club and committee members to deal with issues when they arise.

CLUB VICE CHAIRPERSON

Role

To support the Chairperson in guiding the committee in reaching decisions to ensure the progress and smooth running of the Club. To chair the Club committee in the absence of the Chairperson

Main Duties

  • To support and work alongside the Chairperson to ensure the progress and smooth running of the Club.
  • To chair and control committee meetings in the absence of the Chairperson.
  • Attend Club events as appropriate.
  • To be involved, where appropriate, in the co-ordination of club activities.
  • Keep up to date on ASA laws, regional, county issues and club constitution.
  • Report to the officers of the committee at the first opportunity of any instant decisions taken, and ensure that all policy decisions are ratified by the committee.

CLUB SECRETARY 

Role

To ensure the smooth running of club administration.

 

Skills

  • Secretarial skills including minute taking and clerical administration
  • Good computer skills
  • Good verbal and written skills
  • Well organised and efficient
  • Sound knowledge of the club

 

Main Duties

  • Act as the main point of contact for the Club for the county, regional and national ASA
  • Assist with the day to day running of the club including all correspondence
  • Disseminate information to all members of the Club as necessary.
  • To process and deliver appropriate forms and information to and from county, regional and national ASA departments
  • Call committee meetings and AGM, prepare agenda, take minutes and provide officers with copies
  • Liaise with the Swimming and Competition secretary to ensure that pools are booked for all teaching and training sessions as well as all events hosted by the club
  • Book venues for Committee Meetings and AGM

CLUB TREASURER

Role

To ensure the Club meets all financial statutory regulations.

To produce Club accounts for the Auditors.

 

Skills

  • Some financial background and knowledge of producing accounts.
  • Knowledge of using and working with spreadsheets or other account systems
  • Reliable and honest
  • Well organised and methodical.

 

Main Duties

  • To be responsible for the receipt of all monies and the timely payment of all bills
  • Issue receipts and keep records of all monies received
  • Bookkeeping for all Club activities in a manner to prevent fraud.
  • Plan the annual budget in agreement with the committee
  • Monitor the budget throughout the year
  • Ensure that funds are used appropriately
  • Prepare end of year accounts for audit and committee

 

Commitment

Ongoing responsibility for club accounts.  Attend and prepare report for monthly committee meetings.  Prepare year end accounts.

MEMBERSHIP SECRETARY 

 

Role

Keep records of all members including learners and organise the start date and time for new members

 

Skills

  • Well organised and efficient

  • Confident and effective communicator

 

Main Duties

  • Work with Club Treasurer to collect and record annual subscriptions and fees
  • Issue all members with membership card and Club handbook
  • Maintain the Club's membership database ensuring the information it is up to date
  • Communicate new and amended records to Ranx database manager
  • Organise tests for swimmers wanting to join the Club and notify them of results
  • Organise registers for learner swimmers
  • Organise certificates for learners at end of course

GALA SECRETARY

Role

To ensure the smooth running of club competition events

Main Duties

  • Responsible for the compilation of the Club's annual gala fixtures in conjunction with club coach
  • Issue gala invitations for inter club galas and maintain lists of attendees and winners.
  • Return gala acceptance slips to other clubs
  • Issue fixture lists to all club officers, officials, swimmers and notice boards annually.
  • Liaise with pool manager regarding the booking of pool for inter-club and championship gala dates.
  • Organise officials and helpers for all galas
  • Book coaches for away galas when appropriate
  • Liaise with league secretaries and run league galas as required
  • Attend league AGM's where possible

Ongoing weekly responsibility.  Attendance at monthly Club committee meetings
